DUTIES/RESPONSIBILITIES:
Education/Training - Advising/Counseling:
Conduct intakes and screening of
prospective students. Design and present in-service
staff development/enrichment programs. Maintain
student records and files. Coordinate planning
department events, including meetings, workshops,
and conferences. Act as academic advisor for assigned
students. Availability to assist in conducting
summer orientation and skills development programs.
Facilitate faculty and staff's knowledge, understanding,
and expertise regarding disability issues and
learning supports. Make referrals to appropriate
internal/external resource agencies or offices.
Develop, coordinate, and facilitate the peer mentor
program. Management/Administrative Operations:
Act as Office Manager which includes
supervising staff and overseeing office operations.
Integrate and streamline the office management
information system in conjunction with Information
Technology and other College areas as necessary.
Maintain and monitor database for computerized
State grant reports and related information. Generate
and analyze data and write reports for internal
and external needs. Coordinate the collection
of data from various staff and sources as necessary.
Assist the Dean and staff in developing
and implementing CAS policies and procedures.
Interview, train, and coordinate support personnel,
student workers, and reservists. Coordinate the
chargeback process for the PASS program. Perform
other duties as assigned. Public Relations/Communications
(Internal/External): Design, develop,
and coordinate Public Relations activities for
CAS including newsletter, website, and brochures
for college-wide and community distribution. Act
as liaison between the college, New Jersey State
agencies, and other regional centers regarding
grant processes and information. Contribute to
departmental informational updates for college
staff, regional staff, and family members of students.
Attend weekly staff meetings and contribute to
the operations of the department. Technical:
Assist in preparing and monitoring department
budget information. Facilitate development and
assist in compiling results of department surveys,
questionnaires, and statistical information. Prepare
quantitative and qualitative reports pertaining
to department component activities. Shall be expected
to maintain appropriate competency in contemporary
computer technology.
QUALIFICATIONS:
Required:
Bachelor's degree. Experience managing computer
data base systems. Experience in use of standard
computer software, including but not limited to
Word, Excel, and a data base system. Experience
in training and supervising support staff. Excellent
verbal and written communication skills. Experience
working with budgets and grants. Preferred:
Two years experience with individuals with disabilities.
Two years experience at post secondary level.

DUTIES/RESPONSIBILITIES:
Management/Administrative Operations:
Utilize appropriate technologies
to provide course selection advice to students
and assist with the delivery of advising services.
Coordinate the availability of working computers
and schedule staff in the lobby of the administration
building, as needed, to provide assistance to
students. Assist with all orientations for new
students, including the creation of Webadvisor
accounts and the scheduling of support staff,
as needed. Provide assistance during peak times,
with projects such as, but not limited to, Nursing
Admissions, Academic Sanctions, Graduation, Instant
Admit Days, and Pre-registration Advising. Evaluate
high school transcripts, college transcripts,
test scores, and articulation agreements in reference
to college credits. Assist with the coordination
and scheduling of the pre-registration process.
Share data and serve as liaison with Kean University.
Verify athletic eligibility, as requested by the
Athletic Director. Verify chargeback requests,
in conjunction with state law and college policy.
Resolve student issues at the counter and on the
phone, including making decisions regarding refunds
of tuition, in accordance with college policy.
Provide back up to Office Manager in responding
to student inquiries through the Clearinghouse
and resolves issues indicated on the data error
report. Oversee the Registration and Records Office
staff in the absence of the Director. Provide
evening hours coverage, one day per week. Perform
other duties as assigned. Public Relations/Communications:
Supervise the verification of the status
of individual students in response to inquiries
from authorities, outside agencies, the court
system, or approved college authorities. Assist
the Director in compiling necessary data, including
dates and information for brochures, tabloids,
college catalog, web site, and student handbook.
Communicate pre-registration process with departments
and students. Represent the department for on
campus meetings. Act as department liaison with
the Financial Aid Office and the Cashiers Office.
Education/Training - Advising/Counseling:
Provide assistance with the hiring,
training, supervision, and job-related development
of all staff and student assistants assigned to
the Registration and Records department.
Technical: Establish and maintain
functions necessary to keep accurate student records
including a working knowledge of technologies
the college provides for this purpose. Establish,
maintain, and schedule the allowable disposal
of all ancillary files used within the office.
Maintain a working knowledge of Datatel, Webadvisor,
Ocean Cruiser, and all other computer systems
in use by the College.
QUALIFICATIONS: Required: Bachelor's
degree. A minimum of two years experience working
with college records. Knowledge of computer software
as it relates to Registration & Records. Excellent
communication skills in both oral and written
form. Previous supervisory experience in a busy
office setting. Preferred:
Master's degree. Experience in using
a relational database. Previous supervisory experience
in college records or related field.
